01Who we are
This website is run by the Columba Past Pupils Association Incorporated (“the Association”, “we”, “us”), an incorporated society for past pupils of Columba College, Dunedin. We handle personal information in line with the New Zealand Privacy Act 2020.
02What we collect
When you apply for membership on our website, we collect:
- Your first and last name, and maiden name if you give one
- Your email address
- The years you started and left Columba College
- The date and time you gave consent to join
We also hold:
- Member details the Committee already held before this website, such as earlier membership lists
- Basic email delivery information when we email you: whether a message was delivered, opened or bounced, and which links were clicked
- Standard technical information our hosting provider records when you visit, such as your IP address and browser type, used for security and keeping the site running
We don't ask for or store payment card details on this website.
03How we use it
- To review your application and keep the register of members the Association is required to hold
- To arrange your one-off membership fee with Columba College, which adds it to your school account
- To send you news, event invitations, reunion details and notices of general meetings
- To keep our mailing list accurate, for example by noticing addresses that no longer work
- To keep the website secure
We won't sell your information or use it for anything unrelated to the Association.
04Who we share it with
Your information is seen by the Association's Committee. We also share it with:
- Columba College, where needed to process your membership fee and keep in touch with past pupils
- Service providers that run the website for us: Vercel (hosting and file storage), Neon (database) and Resend (sending email). They may store information on servers outside New Zealand, including in the United States, and are only permitted to use it to provide their service to us.
We may also disclose information if the law requires us to.
05Emails from us
Every email we send has an unsubscribe link. You can also email us and we'll take you off the list. Unsubscribing from news emails doesn't end your membership.
Some emails go to every member because our Constitution requires it, such as notices of general meetings. You can't unsubscribe from these while you remain a member. To stop them, you can resign your membership by writing to the Committee.
06How long we keep it
Membership is for life, so we keep your details for as long as you are a member, or until you ask us to remove them. If your application isn't approved, we only keep it as long as we need to deal with it.
07Keeping it safe
Only the Committee can see member details, and information is sent over encrypted connections. No system is completely secure, but we take reasonable steps to protect your information from loss, misuse and unauthorised access.
08Your rights
You can ask to see the personal information we hold about you, and ask us to correct it or remove it. Email columbapastpupilsassociation@gmail.com and we'll respond within 20 working days.
If you're not happy with how we've handled your information, please talk to us first. You can also complain to the Office of the Privacy Commissioner at privacy.org.nz.
09Cookies
This website doesn't use tracking or advertising cookies. See our Cookie Policy for details.
10Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated at the top.
